Privacy Policy

Scope

This Privacy Policy explains how RCC collects, uses, discloses, and safeguards information through its website, intake channels, communications, and services. Medical information maintained by RCC is also governed by the HIPAA Notice of Privacy Practices. If the two documents differ regarding protected health information, the Notice of Privacy Practices controls.

Information RCC may collect

• Contact and identity information, including name, date of birth, address, telephone number, email address, and identity-verification information.
• Health and service information voluntarily submitted through approved intake, scheduling, telehealth, messaging, laboratory, and clinical systems.
• Transaction information, such as plan selection, billing status, and limited payment metadata. RCC uses a third-party payment processor and does not intend to retain full card numbers in the medical record.
• Website and device information, such as IP address, browser, pages viewed, referral source, and basic cookies or similar technology used for security and site operation.
• Communications, requests, complaints, consents, and preferences.

How information may be used

• To respond to inquiries; verify identity and eligibility; schedule, provide, coordinate, and document care; communicate about services; and process authorized payments.
• To coordinate with treating providers, laboratories, pharmacies, and service vendors; maintain security; prevent fraud; improve operations; meet recordkeeping duties; and comply with law.
• RCC will not sell protected health information. RCC will not use protected health information for marketing where HIPAA requires written authorization unless the patient provides that authorization.

How information may be disclosed

Information may be shared with RCC workforce members and clinicians; laboratories and pharmacies selected for care; vendors that support the EHR, telehealth, scheduling, secure messaging, forms, payment processing, hosting, and security; professional advisers; and government or other persons when authorized or required by law. Vendors receive only the information reasonably needed for their function and, when required, operate under appropriate privacy agreements.

Website choices and cautions

Do not submit medical information through ordinary email, website free-text fields, or social media unless RCC specifically directs that channel for the information. Browser settings may control cookies. Disabling necessary cookies may impair site functions. Third-party links are governed by the third party’s policy.

Security, retention, and rights

RCC uses reasonable administrative, technical, and physical safeguards, but no Internet transmission is completely secure. Information is retained as required for care, legal, operational, and security purposes. HIPAA rights concerning medical records are stated in the HIPAA Notice of Privacy Practices.

Children and service territory

RCC’s current services are intended for adults and patients physically located in a jurisdiction where the Provider is properly licensed or otherwise authorized and RCC has approved operations. The website is not directed to children under 13.

Changes

RCC may update this policy prospectively. The current version and effective date will be posted.
