Cancellation and Refund Policy

How cancellation, refunds, and appointment charges work at RCC.

Effective date: August 4, 2026 · Reviewed at least annually · Status: Approved.

Subscription cancellation

A patient may cancel through RCC’s secure patient messaging system, by written notice delivered to RCC, or by another cancellation method RCC publishes. RCC will confirm receipt. Unless a written plan states otherwise or law requires a different result, cancellation becomes effective at the end of the current paid billing period if received before the next charge.

Refund principles

  • Services already rendered and time already reserved and completed are not refundable merely because the patient is dissatisfied with a clinical outcome.
  • RCC will correct duplicate, erroneous, or unauthorized RCC charges after review.
  • A recurring plan charge may be refunded or prorated when required by law or when RCC determines services could not be provided for reasons attributable to RCC.
  • Laboratory charges are generally nonrefundable after the order/requisition has been released or the specimen has been collected, except for a billing error or an applicable laboratory remedy.
  • Medication or pharmacy charges are generally nonrefundable after a prescription or order has been accepted for preparation, compounded, dispensed, or shipped, subject to the pharmacy’s policy and remedies for error, damage, recall, or quality concern.
  • Clinical ineligibility does not create a right to a prescription. RCC will evaluate any unearned prepaid clinical-service amount separately from charges for completed evaluation, laboratory, or third-party services.

Appointments

Appointment cancellation or no-show charges apply only if disclosed before booking. RCC should be notified as early as possible. An emergency or documented exceptional circumstance may be reviewed individually.

How to request review

Contact RCC promptly with patient name, date and amount of charge, service, reason, and supporting information. RCC will acknowledge the request and provide a written or documented decision after reviewing clinical, billing, laboratory, pharmacy, and processor records as applicable.
